How Vesta Properties Modernized its Operations with Pluto

From Fragmented Workflows and Manual Reporting to Real-Time Visibility at Scale

When Vesta Properties began expanding from lower-density homes into large-scale concrete high-rise developments, the company quickly realized that the systems they had relied on for years were no longer capable of supporting the complexity, speed, and operational visibility required for modern pre-construction sales.

The challenge wasn’t simply about writing contracts faster, it was about managing hundreds of live deals simultaneously, coordinating multiple departments, giving leadership real-time visibility into the business, and delivering an exceptional buying experience.

The Breaking Point: When Legacy Systems Couldn’t Scale

Before Pluto, Vesta Properties had used multiple industry platforms as the business evolved. Each came with limitations that prevented growth.

Limitations of Homefront

According to Tara Desmond, Sales Director at Vesta Properties, contract creation inside older systems became increasingly cumbersome and fragile as sales volume increased.

One experienced team member still required roughly 35 minutes to complete a contract in Homefront, largely due to the amount of clicking, navigation, and repetitive manual input required. Worse, a single mistake could compromise the entire contract package and force the process to restart from the beginning.

Limitations of Avesdo

Vesta then transitioned to Avesdo, a platform in the new home sales industry. While it improved certain workflows, the leadership team still found themselves constrained by limited reporting visibility and disconnected operational data.

Critical reporting workflows still relied heavily on manually exporting spreadsheets, formatting Excel files, adjusting columns, and preparing sales updates for leadership meetings every week.

In many cases, those manual reporting exercises consumed one to two hours every Sunday evening in preparation for Monday morning sales meetings.

The Hidden Operational Cost of Fragmentation

As Vesta grew, the limitations of disconnected systems became increasingly difficult to manage.

Sales information lived across spreadsheets, PDFs, emails, and multiple platforms, leaving construction, customer care, legal teams, and external partners dependent on manual exports and constant follow-up to access critical information.

Sales teams spent valuable time validating data instead of serving customers, confirming pricing, checking addenda, verifying documents, and ensuring every detail was accurate.

Leadership lacked real-time visibility into sales activity, relying on static reports assembled from multiple sources.

As Vesta prepared to launch high-rise developments with hundreds of units, it became clear that the existing operational model would not scale.

A Platform Built for Scale

As deal volume increased, Vesta recognized that speed and accuracy were crucial. They ultimately found Pluto, a system purpose-built for the operational realities of modern real estate development. Pluto unifies contracts, inventory, reporting, and buyer communication into one platform, giving teams a shared source of truth across the organization.

The platform proved its value during the launch of Vesta’s landmark high-rise developments in Langley, British Columbia. Over the course of the launch, Vesta processed more than 400 contracts from creation through signing and rescission periods within a highly compressed timeframe.

Pluto automatically reserved inventory the moment a sales representative initiated a reservation, preventing units from being sold twice during high-demand releases. Sales teams could now generate complete contracts, including purchasers, disclosures, addenda, and supporting documents in minutes.

The result was not only operational efficiency, but also a dramatically improved customer experience.

“Pluto enabled us to create contracts in under five minutes.”

Creating Confidence for Buyers

For Vesta, Pluto fundamentally changed how buyers experienced the purchasing process itself. Instead of waiting for sales teams to manually send contracts, documents, updates, and information, purchasers gained immediate access to everything they needed through Pluto’s Client Portal.

Buyers could review documents, access information for their lawyers and banks, and move through the purchasing process without unnecessary delays or uncertainty. Tara described the experience as one that gave buyers “confidence” during a major financial decision.

The system also reduced the constant stream of repetitive emails, phone calls, and administrative follow-ups that traditionally burden sales teams during active projects. Instead of acting as human search engines for documents and updates, sales teams could focus on serving customers and managing the broader sales process.

Real-Time Reporting Changed Executive Decision-Making

One of the most transformative shifts for Vesta came from Pluto’s reporting and visibility capabilities.

Before Pluto, reporting was largely static and reactive. Teams manually assembled spreadsheets and flattened exports to communicate sales activity to leadership.

With Pluto, leadership could instantly access live dashboards, isolate virtually any metric in real time during meetings, and immediately see patterns without requiring manual data entry or manipulation.

Vesta could now identify pricing trends quickly, recognize which floorplans were performing best, understand market demand in real time, adjust pricing strategies accordingly, and more.

Tara described Pluto’s reporting as superior to anything she had used in over 25 years in the industry.

Using Legacy Data for Greater Operational Intelligence

For Vesta, Pluto ultimately became much more than a contract platform, it became an operational intelligence layer across the organization. The system captured and centralized years of historical sales data, enabling leadership to identify long-term patterns, pricing behaviours, buyer preferences, and market trends across master-planned communities.

That historical visibility is now helping inform future pricing decisions, release strategies, inventory planning, and project positioning.

“Having all of those details on the sales side helps inform decisions and not leave money on the table.”

Why Operational Maturity Matters More Than Ever

Today, Vesta sees Pluto not simply as a replacement for legacy platforms, but as a foundational sales and operational system that connects the full lifecycle of the homebuyer journey, from reservation and contract management through customer care and post-sale service.

As market conditions evolve and buyers demand more transparency, confidence, and simplicity during the purchasing process, Vesta believes operational maturity will increasingly separate leading developers from the rest of the market.

For Vesta, the value of Pluto ultimately comes down to removing friction for both teams and buyers alike, and allowing the business to scale efficiently.
